Sales and Marketing Coordinator, Europe

Exact Imaging has an exciting opportunity for a Sales and Marketing Coordinator, Europe to help make an impact. Reporting to the Senior Vice President (SVP), Marketing and with dotted line responsibility to the Vice President (VP), Global Sales and European Operations, the Sales and Marketing Coordinator position performs Sales, Marketing and Administrative functions as outlined below. The Coordinator will also work closely with their North American Coordinator counterpart to ensure alignment and synergy of all activities and to enable that best practices are being used globally.

What you’ll be doing:

European Conferences, Trade Shows and Guest Travel

  • Book and confirm travel for Exact Imaging Sales & Marketing staff and Partners as required
  • Book hotels for all Exact Imaging conference staff and guests
  • Assist SVP, Marketing with all facets of Conference planning
  • Set, manage & distribute European component of the Master Conference Schedule
  • Manage all European demo equipment logistics and coordinate with trade show suppliers
  • Manage all direct transport to/from 10' Pop-up Shows
  • Coordinate all equipment/signage & booth for conferences
  • Book/arrange all conference-related services
  • Assemble and distributes Conference Binders
  • Manage trade show equipment inventory and perform post-conference equipment checks
  • Coordinate conference-to-conference shipping of all equipment
  • Attend and work at trade shows as required, including attending/supporting any Sales meetings, Workshops and other related events
  • Close coordination of all trade show activities with North American Coordinator counterpart, as well as Global Logistics Manage

Customer Demonstrations (In-field)

  • Understand and arrange the appropriate equipment that is required for demonstrations (with Clinical Application Specialist(s) & VP, Sales)
  • Communicate shipping requirements with Global Logistics Manager for 2-way shipment of equipment / supplies
  • Track all shipments to ensure timely delivery and pick-up
  • Gather appropriate contact, customs & shipping information
  • Ensure Customer travel itinerary & hospitality is maintained

Sales Support and Logistics

  • Fulfill Literature requests (show-related and as requested via web inquiries, sales managers)
  • Send Fed Ex packages to Sales Managers and Distributors as required
  • Manage all courier and all shipping-related tasks (including tracking incoming packages) related to Sales & Marketing pre-sale activities

Post-Conference Follow-Up including:

  • Contact Entry
  • Gather names (digital or print-outs)
  • Enter names (manually or via import) into
  • Associate Sales Manager & activity to each new contact
  • Input "Notes" into each new contact
  • Scan leads sheets and post by “lead ranking” to
  • Personalized Mailing
  • Gather appropriate letter template from SVP, Marketing and perform mail merges
  • Modify letters / request unique letters for special applications or customer requests at the conference from SVP, Marketing
  • Associate/log letters & packages within
  • Assemble packages prior to mailing
  • Print personalized mailing labels
  • Arrange mail or courier, when required/requested

Local Accounting Tracking and Office Management

  • Perform tracking of select expenses, reconciliation and reporting
  • Assist with the smooth and professional operation of the Exact Imaging European office (i.e. maintain supplies, oversee general office cleanliness, ensure smooth communication, oversee shared services, coffee and drink services, etc.)

  • Responsible for European “administrative oversight” of from a sales and marketing perspective
  • Regular population of prospects in
  • Ensure flow and logic supports the sales and marketing workflow - - and suggest changes when not aligned
  • Develop and maintain “Introductory Training” modules and materials for new employees/users


  • Work closely with the SVP, Marketing to assist in the execution of ongoing campaigning
  • Includes assistance with list management, executing and coordinating elements of email campaigns and webinars, commercial events, sales meetings, social media, etc.


  • Other duties as assigned by Management

What you’ll need:

  • Post-secondary degree/diploma
  • Courses related to Sales, digital marketing and/or events planning preferred
  • A minimum of 5 years office experience preferably in business administration
  • Customer service and sales/marketing experience
  • Experience working with preferable
  • Executive support experience, including travel coordination
  • Proficiency in using general office productivity software (Microsoft Office, etc.) for communication and documentation purposes
  • Ability to travel to the USA, Europe and Canada ~ 2 – 4 times/year
  • Experience working with ISO 9001/13485 quality standard desirable
  • Excellent typing/keyboarding skills
  • Strong problem solving skills
  • Excellent business writing skills and good business sense
  • Sense of urgency, self-motivated, flexible
  • Excellent English communication skills, both oral and written
  • Additional language skills : German, French, and Dutch Strongly preferred
  • Excellent interpersonal communication skills
  • Excellent organizational skills
  • Accuracy and strong attention to detail
  • Ability to lift a minimum of 25 lbs/ 10 Kg
